What each one needs before it works

Teams intelligent recap is produced by the meeting service itself. Nothing joins the call and nothing runs on your machine. But reaching it requires a Microsoft 365 subscription including Teams, plus either a Teams Premium or a Microsoft 365 Copilot licence, and an administrator has to turn on transcription and recording through policy. Nobody gets there alone, and that is the single biggest practical difference.

Fireflies.ai is self-serve. You sign up, connect a calendar, and a recorder joins your meetings. No licence, no administrator, no policy change.

Coverage and privacy

Teams recap only covers Teams meetings. Its multilingual speech recognition supports nine languages, and Dutch is not among them — a detail easy to miss because Microsoft documents transcript translation separately at over a hundred languages, which is a different capability.

Its privacy position is the strongest available. Data stays in the geographic region tied to your own tenant, multi-geo tenants are supported, and Microsoft states that customer content is never logged or used for any AI model training or testing. Fireflies.ai also states it does not train on meeting data, and holds SOC 2 Type II, GDPR and HIPAA, but it is a third party processing your meetings rather than the platform you already trust with them.

Which should you choose?

If your organisation already holds Copilot or Teams Premium licences, meets in Teams, and works in one of the nine supported languages, use what you are paying for. The recap is good, the data never leaves your tenant's region, and adding a third-party recorder buys you little.

Choose Fireflies.ai if you meet across several platforms, need a language Microsoft does not cover, want an API without an enterprise contract, or simply cannot get an administrator to enable anything. For most small teams, that last reason decides it.
